2. What we collect and why
Device and browsing information
What: browser type and version, IP address, time zone, cookie identifiers,
pages and products viewed, search terms entered on the Site, and how you
interact with pages.
Why: to load the Site correctly for you and to understand how the Site is used
so we can improve it.
How collected: automatically, through cookies, server log files, tags and
pixels. We use no tracking technologies beyond these.
Shared with: Shopify (our store platform) and Google Analytics 4 (our
analytics provider).
Order information
What: name, billing address, shipping address, email address, phone number and
payment information. Card numbers are entered directly into our payment
providers' systems and are never stored on our servers.
Why: to accept and fulfil your order, take payment, arrange shipping, issue
invoices and order confirmations, communicate with you about the order,
screen orders for fraud, and — only where you have opted in — send you
product news and offers.
How collected: from you, when you place an order or request a quote.
Shared with: Shopify, our payment providers (Airwallex and PayPal), Airwallex
Fraud Protection for risk screening, and the carriers who deliver your
order.
Customer support and quote enquiries
What: your name, email address, phone number, the laser machine and materials
you describe to us, and the content of your messages.
Why: to answer your question, size the right extractor for your machine, and
prepare a written quote.
How collected: from you, through our contact and quote forms, by email, or
through the Shopify Inbox chat on the Site.
Shared with: Shopify (which hosts the forms and chat). Quote enquiries are also
recorded in our own internal sales system so that a colleague can follow
up if the person handling your enquiry is unavailable.
Product reviews
What: your name or display name, your email address, your rating and review
text, and any photo you choose to attach.
Why: to collect and publish reviews of products you have bought.
How collected: from you, when you respond to a review invitation after your
order is delivered.
Shared with: Judge.me, the review platform we use. Published reviews are
visible to anyone who visits the Site.
We do not buy personal information from data brokers and we do not use purchased
marketing lists.
3. Minors
The Site is intended for business and adult consumer purchasers and is not
directed at individuals under 16. We do not knowingly collect personal
information from children. If you are a parent or guardian and believe your child
has given us personal information, contact us and we will delete it.
4. Legal bases for processing (EEA and UK visitors)
If you are in the European Economic Area or the United Kingdom, we process your
personal information on these bases:
Performance of a contract — to fulfil an order you have placed or a quote you
have requested.
Legitimate interests — to operate and secure the Site, prevent fraud, and
understand how the Site is used. We balance these against your rights and
process no more information than the purpose needs.
Your consent — for marketing emails and for non-essential cookies. You can
withdraw consent at any time.
Legal obligation — to keep tax and accounting records and to respond to lawful
requests from authorities.
5. Sharing your information
We share personal information only with the service providers listed in
section 2, and only to the extent each needs it to perform its function. We do
not sell your personal information, and we do not share it with third parties for
their own independent marketing.
We use Shopify to power the store. You can read how Shopify handles personal
information at https://www.shopify.com/legal/privacy.
We may disclose personal information where we are legally required to — to comply
with applicable law, to respond to a subpoena, search warrant or other lawful
request, or to establish or defend legal claims.
6. Analytics and advertising
We use Google Analytics 4 to understand how visitors use the Site — which pages
are viewed, which products attract interest, and where visitors arrive from.
Google's practices are described at https://policies.google.com/privacy, and you
can opt out of Google Analytics entirely using Google's browser add-on at
https://tools.google.com/dlpage/gaoptout.
We do not currently run retargeting or personalised advertising campaigns, we do
not operate advertising pixels for social networks, and we do not participate in
Shopify Audiences. If this changes we will update this policy before starting.
7. Automated decision-making
We do not make decisions about you by fully automated means that have legal or
similarly significant effects.
Our payment and fraud-screening providers apply limited automated checks to
prevent fraudulent transactions — for example temporarily blocking IP addresses
associated with repeated failed payment attempts. If an automated check declines
your order, you can email us and a person will review it.
8. How long we keep information
Order records are kept for as long as needed to service the order and thereafter
to meet tax, accounting and warranty obligations. Quote enquiries that do not
result in an order are kept for up to 24 months so we can pick up the
conversation if you come back to us. Marketing consents are kept until you
withdraw them. Analytics data is retained according to Google Analytics'
configured retention period.
You can ask us to erase your information sooner — see section 9.
9. Your rights
Wherever you live, you can ask us to give you a copy of the personal information
we hold about you, correct it if it is wrong, delete it, provide it in a portable
format, or stop using it for marketing. Email
sales@pureairfumeextractor.com and we will respond within 30 days. We will not
treat you differently for exercising these rights.
If you are in the EEA or UK, you also have the right to object to processing based
on legitimate interests and the right to lodge a complaint with your local data
protection authority. Your information is initially processed by Shopify in
Ireland and may then be transferred outside Europe for storage and further
processing, including to Canada and the United States. Shopify's approach to
those transfers is documented at
https://help.shopify.com/en/manual/your-account/privacy/GDPR.
If you are a California resident, you have the right to know what personal
information we collect and how we use it, to request its deletion or correction,
and to receive it in a portable form. We do not sell personal information and we
do not share it for cross-context behavioural advertising, so there is no sale to
opt out of. You may use an authorised agent to make a request on your behalf —
contact us and we will explain how to verify the authorisation.
10. Cookies
A cookie is a small file stored on your device when you visit the Site. We use:
Strictly necessary cookies — to keep your cart, secure your session and process
checkout. The Site cannot function without these.
Analytics cookies — to measure how the Site is used, via Google Analytics 4.
Preference cookies — to remember choices such as your region.
Shopify maintains the current, authoritative list of cookies set on its
storefronts, including each cookie's purpose and duration, at
https://www.shopify.com/legal/cookies. We link to it rather than reproduce it
here so the list you read is never out of date.
Most browsers accept cookies automatically, but you can block or delete them in
your browser settings. Blocking strictly necessary cookies will break checkout.
Guidance for each browser is available at www.allaboutcookies.org.
11. Do Not Track
There is no agreed industry standard for responding to "Do Not Track" browser
signals, so we do not change our data practices when we receive one.
12. Security
Payment card details are entered directly into our payment providers' PCI-DSS
compliant systems and never reach our servers. The Site is served over HTTPS.
Access to order and enquiry records is limited to staff who need it to do their
job. No method of transmission over the internet is completely secure, so we
cannot guarantee absolute security, but we notify affected customers and the
relevant authorities without undue delay if a breach affecting personal
information occurs.
13. Changes to this policy
We may update this policy to reflect changes in our practices or for legal or
regulatory reasons. The "Last updated" date at the top shows when it last
changed. Material changes will be communicated to you by email or a Site notice
before they take effect.
14. Governing law
This Privacy Policy is governed by the laws of the Hong Kong Special
Administrative Region of the People's Republic of China. Personal data we hold
is handled in accordance with the Personal Data (Privacy ) Ordinance (Cap. 486)
of Hong Kong, without prejudice to the GDPR, UK GDPR and US state privacy
rights described above where those laws apply to you.
